Zurich Canada is currently looking for an Executive Assistant to join our Toronto office. In this role, you will provide high-level administrative support to the Chief Executive Officer (CEO) of Zurich Canada. You will be responsible for managing the CEO's schedule, coordinating meetings and travel arrangements, handling confidential information, and assisting in various administrative tasks to ensure the smooth functioning of the CEO's office. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to work independently.

What you will do

• Be the central point of contact for the CEO of Zurich Canada.

• Manage the CEO’s email proactively dealing within defined delegated authority.

• Provide all required administrative support and to track and monitor all decisions and actions taken.

• Efficiently manage the CEO's calendar, including scheduling and prioritizing appointments, meetings, and conferences. Coordinate with internal and external stakeholders to ensure timely and effective scheduling.

• Arrange and coordinate meetings, including preparing agendas, taking minutes, and distributing meeting materials. Ensure all necessary resources and equipment are available for meetings.

• Plan and coordinate domestic and international travel itineraries for the CEO. Arrange flights, accommodations, transportation, and other logistics as required. Anticipate and resolve any travel-related issues or conflicts.

• Coordinate and manage all budgetary & related activity for the Office to include budget submissions, reforecasts and ongoing monitoring of expense reports.

• Work closely with the Communications team on all aspects of communications activity for the CEO from regular and ad-hoc briefings through to conference management.

• Take responsibility for ad-hoc projects and initiatives on behalf of the CEO as appropriate.

• Maintain strict confidentiality in all matters.

• Business Travel, as required

• Extended Hours during Peak Periods, as required

• Regular Predictable Attendance

• Visibility in the Office, as required

What you bring to the table

Job Qualifications

• Bachelor's Degree/College Diploma and 10 or more years of experience in an administrative support role

• Bilingual proficiency in French and English

Preferred Qualifications:

• Proven experience as an Executive Assistant or similar role supporting C-level executives

• Prior experience working in a multinational organization

• Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.

• Excellent written and verbal communication skills, including professional phone/email etiquette.

• Proficient in using productivity tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook).

• Ability to handle sensitive and confidential information with discretion.

• Strong attention to detail and accuracy.

• Ability to work independently, take initiative, and anticipate the needs of the CEO.

• Flexibility and adaptability to changing priorities and demands.

• Professional demeanor and the ability to interact with individuals at all levels of the organization.
